Set card limits and controls
Capping what a card can spend per day, per month and per transaction, and who can see card details.
Version 1.0 · Last updated
When you would do this
When you issue a card, when someone's responsibilities change, and after any incident that makes you want tighter control.
Limits are the main control you have over a card. Set them deliberately rather than leaving everything open.
Steps
- Go to Operation › Cards and open the card.
- Select Set limit.
- Set any combination of:
- Daily, the maximum the card can spend in a day
- Monthly, the maximum in a calendar month
- Per transaction, the maximum for any single purchase
- Leave a field empty for no limit on that dimension.
- Save.
To lift a cap you have set, use Remove limit on that field.
Choosing limits
Set the per-transaction limit to the largest single purchase the cardholder legitimately needs. This is the control that does the most work: it caps the damage from a compromised card in one go.
Set the daily limit to a normal day, not an exceptional one. A cardholder who occasionally needs more can ask.
Set the monthly limit to the budget the card is meant to operate within, so the card enforces the budget rather than a report telling you about it afterwards.
Revealing card details
Card details can only be revealed by an Admin, using Details on the card. Signers, Requesters and Viewers cannot see the number, expiry or security code, whatever else they can do in the platform.
Reveal details only when the cardholder actually needs them, and send them through a channel you trust. Revealing is recorded.
What to expect
Limit changes take effect immediately. A transaction that breaches a limit is declined at the point of sale.
The card detail view shows daily spent against daily limit, month to date, and daily utilisation, so you can see how close a card is running to its caps before someone is embarrassed at a checkout.
Common problems and what they mean
A cardholder's payment was declined and they are within budget. Check all three limits, not just the one you remember setting. A single large purchase can pass the daily limit and fail the per-transaction limit.
You cannot see Set limit. Open the card's detail view rather than acting from the list.
You cannot reveal details. You are not an Admin. Only Admins can.
Spend appears against a card with a limit that should have stopped it. Limits apply to new authorisations. A payment authorised before you changed the limit can still settle afterwards.
